School Permits

The safety of our students, staff and families is our priority at  York Region District School Board (YRDSB). It is with student and community safety in mind, the following decisions regarding community use of schools permits were made to help reduce the spread of COVID-19all community use of schools permits are suspended until February 1, 2021. Please note, this date may be extended. Staff will provide regular updates to permit holders.​

Staff will amend all current permits to reflect this decision. No fees will be charged to permit holders until school access is reinstated.  

To ensure student and community safety, when school permits resume, staff will be implementing a phased return to school access. The first permit holders who will be allowed school access under phase one are those requesting the use of gym space only. Once this phase has been reviewed and deemed to be safe, phase two access to other school spaces will be implemented and communicated at a later date.

The following extra fees will apply to cover increased costs required for enhanced COVID 19 cleaning following each permit:

·        Weeknight gym permits will be charged a COVID cleaning rate of $45 per gym per session.

·        Saturday gym permits will be charged $67.97 per gym per session.

·        Sunday gym permits will be charged $88.02 per gym per session.

These additional fees will be the responsibility of the permit holder and will apply to all permit category groups.

To allow time for the additional cleaning to take place, there will only be one permit approved per gym, during a week night at any school. The permit will run from 6 pm to 9 pm. At locations where there were previously two permits an evening, they will now operate every other week. The night permitted will show clearly on approved permits.

Weekend gym permits will operate weekly with extra cleaning time between permits. The changes in time to your weekend gym permits will show clearly on approved permits.


Staff will regularly update permit holders during these difficult times. To best facilitate this, please ensure your email address on file is current. All permits are currently suspended until February 1st, and end on or about the second week of June. Summer permits will start the second week of July and end two full weeks before Labour Day. Exact start and end dates will be confirmed upon issue of the permit. Permits do run on PA days but not in the evenings of March Break.​

 

All denied permits are placed on our waiting list and you will be contacted if a space becomes available. Please do not place numerous requests if you are only looking to permit one day, time and location.

 

Please note effective September 2020, fees will increase by 1.9%. 

 


Submitting an Application

Please visit the eBase Community Use page to view an introductory video, create a user name/password and to submit applications. This web application allows users to:

  • view an electronic record of their permit history including requests, bookings, communication with the permit department and permit fees

  • update contact and online payment information

  • view site availability prior to submitting requests.


General Information

Please check the eBase site frequently for updates and messages about your permit request. You will be notified electronically once your permit has been completely processed or if we are unable to grant your request.

Using the credit card option for monthly payments ensures a zero balance at the end of each month and at the end of your permit. You will be charged for the actual usage at the end of each month. This will also result in a quicker turn around in receiving your permit as the postdated payments will not have to be received before we forward your permit to you.

The Board believes that all learners, leaders and community members have a shared responsibility for minimizing their effect on the environment and taking an active role in protecting it. As permit- holders and users of Board facilities, are expected to support the Board’s efforts to reduce and divert waste, and to reduce energy and water use in our schools.
